Federated records management (FRM) calls for records to be managed from a central location via a single set of retention rules, while allowing them to remain in their native repositories. The records are virtualized to appear in the central RM application, where they can be accessed or modified. Compliance and RM are becoming more of a concern for global enterprises, such as Rohm and Haas. The companys line of businesses is very diverse and includes household goods, electronics, construction and transportation. The company streamlined its discovery and audit capabilities using an electronic records management solution from IBM. The process involved bringing in several outside resources to create a standards-based system that met user requirements and fit into its sprawling IT infrastructure without damaging the current work processes of its employees. The e-mail system was augmented with enterprise content management functionality, allowing it to be used for records management purposes. Next, Rohm and Haas will create an RM strategy that suits the specific requirements of its other records repositories, with long-range plans to bring them all under the same RM system sometime in the future. Compliance is the main driver for centralized RM, but the cost-reduction realized from managing a single repository instead of several is an attractive by-product.
