The value-added reseller (VAR) team at Southwest Solutions Group, says spokesman Troy Menchhofer, has leveraged the asset tracking abilities of records management software to earn $3 million in new revenue over the past two years. File management software packages ship with barcode tracking abilities with which organizations can track the movement of important paper records through the office environment. When barcodes are scanned on file folders, an audit trail can be created to show where documents have been, which staff have reviewed particular documents, and who might currently have possession of a specific file. File management software barcode tracking does not have to be restricted to use on paper records, but can also be configured to track company assets, including furniture, fixtures, and equipment. One of the first clients for which Southwest Solutions Group installed an asset management solution was Williamson County in Rod Rock, Texas, which initially obtained a hybrid electronic and paper file management for the Williamson County Juvenile Services Center. The same asset tracking abilities in the file management software for the Juvenile Services Center were used in another solution for tracking new car-mounted and handheld radios for police, fire, and EMS. Topics covered are how to get government clients with integrated document management and leading with records management to enhance asset tracking success.
