Open Text's Livelink Records Management 2.9.1, Filenet Corporation's Records Management 3.0, and EMR's Documentum Records manager are three software packages that can help government agencies manage the maintenance of official records. With the need to digitally store retained records as well as provide proper oversight of them, the management of such files has become a particular challenge. Government agencies have to adhere to several different regulations regarding the keeping of electronic records, making it a larger issue when looking for an enterprise solution. Luckily, the software industry is moving towards a component-based suite of tools rather than a standalone system. Open Text uses a Java community process to integrate with enterprise software platforms from IBM, PeopleSoft, and Oracle. It also automatically files emails from Outlook and Lotus Notes and captures transmission and receipt data. The second product, FileNet Records Manager 3.0, can capture records automatically with no extra work on the user's side. The tool also notifies record owners marked for deletion, and email can be files from Outlook. Finally, Documentum Records manager supports both automatic and user-aided content, as the system gets trained to an organization's record principles and rules. This tool files emails from Outlook using a plug-in, and users can file the email immediately upon sending it. The file format has been a problem because there is no standard guaranteed to be around forever. While PDF/Archive (PDF/A) is the latest standard from the International Organization of Standards, and is platform-independent based on Adobe's public domain specification. As a pared-down version of PDF, however, PDF/A may not meet every organization's requirements.
